What Does an EcoVadis Invitation Mean for a Supplier?

Learn what an EcoVadis invitation means for suppliers, how the assessment works, who pays for it, and why accepting it matters.

EcoVadis invitation process for suppliers and CSR assessment steps

Receiving an EcoVadis invitation means that a client or buying organization wants to assess your company’s CSR performance through the EcoVadis platform.

This approach is part of a broader supply chain responsibility strategy, aimed at ensuring that business partners comply with recognized social, environmental and ethical standards.

The purpose of an EcoVadis invitation

The invitation is designed to engage the supplier in a standardized CSR assessment process, shared across all of the client’s partners.

EcoVadis acts as a trusted third party, collecting, analyzing and scoring information based on an internationally recognized methodology.

For the inviting company

  • Gain a clear view of suppliers’ CSR practices.
  • Meet regulatory requirements, particularly related to due diligence and sustainability reporting.
  • Strengthen transparency and traceability across the supply chain.

For the invited supplier

  • Showcase its CSR commitments to clients.
  • Increase credibility in tenders and commercial relationships.
  • Identify concrete improvement areas to strengthen its sustainability approach.
Good to know: The EcoVadis assessment is based on the principles of ISO 26000 and internationally recognized frameworks such as GRI and the United Nations Global Compact. Each assessed company receives a comprehensive performance scorecard, including its score, strengths and recommended improvement areas.

How an EcoVadis invitation works

An EcoVadis invitation is sent by email directly from the platform.

The message includes a secure link to the registration area and the CSR questionnaire.

Key steps

  1. Create or log in to an EcoVadis account.
    The supplier creates a new profile or logs into an existing one.
  2. Define the assessment scope.
    The company specifies its activity, size and sector to receive a tailored questionnaire.
  3. Complete the questionnaire.
    It covers four themes: Environment, Labor & Human Rights, Ethics, and Sustainable Procurement.
  4. Upload supporting documents.
    Evidence must be recent, dated and aligned with the assessed scope.
  5. Analysis and scoring by EcoVadis.
    Analysts assess the quality of the CSR management system and assign a score out of 100.
Good to know: Once the assessment is completed, the supplier can share its EcoVadis scorecard with other clients without completing the questionnaire again, thanks to the mutualized EcoVadis profile.

Benefits for a supplier of accepting an EcoVadis invitation

Accepting an EcoVadis invitation offers several strategic advantages:

  • Meet client requirements without completing multiple CSR questionnaires.
  • Gain international recognition through a standardized, peer-comparable assessment.
  • Improve commercial visibility, especially in global supply chains.
  • Manage CSR progress using the EcoVadis dashboard and recommendations.
Good to know: Refusing an EcoVadis invitation may be perceived as a lack of commitment or transparency, particularly when the assessment is requested as part of a tender or strategic partnership.

Cost and validity of the supplier assessment

Participation in the EcoVadis assessment is paid by the assessed company, meaning the supplier that receives the invitation.

The client or buying organization that sends the invitation does not cover the cost of the assessment, unless a specific agreement has been made between the parties.

Pricing depends on the type of subscription chosen by the supplier and the associated features (Basic, Premium or Corporate).

Once the assessment is completed, the EcoVadis score and medal are valid for 12 months from the date the score is issued.

Additional benefits depending on the subscription

  • Access to a personalized improvement action plan.
  • Ability to share the score with multiple clients, without completing the questionnaire again.
  • Year-over-year progress tracking through the EcoVadis dashboard.
Good to know: Even if the invitation is sent by a client, the EcoVadis subscription is taken out and paid for by the assessed supplier. In return, the same score can be reused and shared with multiple clients at no additional cost, as long as it remains valid.
